# Manage cohorts

> Manage members, change upcoming dates and check progress in a cohort program.

Open a program from **Cohorts** to see its schedule and tracks. Select a cohort to see its members, channel and progress.

You need editor or admin access to manage members and edit the schedule. Viewers can check rosters and progress. [See all permissions](/cohorts/facilitators.md#program-roles).

## Check progress

Before a cohort opens, its **People** list shows who's expected to join. After it opens, the roster shows who's joined and their progress through per-person tracks. Open a cohort track's run to check its shared steps.

| Status | Meaning |
| - | - |
| **Scheduled** | The cohort hasn't opened yet |
| **Active** | The cohort has opened |
| **Done** | Intake has closed and its cohort track runs have ended, or someone ended the cohort manually |

Per-person tracks can continue after a cohort shows **Done**. A cohort with no members doesn't open a channel or start tracks.

## Add, move or exclude people

Open the cohort's **People** list or its own page. You can manage members while the cohort is **Scheduled** or **Active**.

| Action | What happens |
| - | - |
| **Add** | Choose people to join alongside anyone added automatically. |
| **Move** | Choose another unfinished cohort in the same program. Their old per-person tracks end; the new cohort's tracks start from the beginning. |
| **Exclude** / **Remove** | Hold someone out of this cohort. Doozy won't automatically add them back or move them to a later cohort. If they've already joined, their per-person tracks and open activities are canceled. |
| **Restore** | Put an excluded person back in the cohort. |

Use **Move** if someone already belongs to another unfinished cohort in the same program. They can belong to cohorts in different programs.

A future hire can't be placed in a cohort whose intake ends before their employment start date. Their activities and channel invitation wait until their own start date, even if the cohort is already active. Messages already sent to the group aren't resent.

> **How automatic placement works**
>
> Doozy uses each person's start date and the program's membership filters to choose a cohort.
>
> * A late addition joins the matching cohort if it's still active. If that cohort is done, they join the next available cohort.
> * Start dates in a schedule gap fall forward to the next cohort. Dates before the first cohort aren't included automatically.
> * People you add or move manually keep that placement when their start date or the schedule changes, unless you remove their cohort.
> * Excluded and deactivated people aren't automatically added.
>
> If you add several people together and any placement is blocked, nobody in that selection is added. The error names the people affected.

## Change the schedule

Select an upcoming cohort's **Intake dates** to change its first and last day. Dates use the program's time zone. Moving the first day also moves when its channel opens and tracks start.

You can only change dates for cohorts that haven't started.

| Action | How to use it |
| - | - |
| Change dates | Select **Intake dates** and choose a new range. Extending into another upcoming cohort adjusts its dates to prevent overlap. |
| Split a cohort | Choose **Split into two** from its menu and pick the second cohort's start day. Each half must cover at least one day. |
| Skip an intake | Choose **Remove cohort**. Its people move to the next cohort; removing the first cohort leaves its dates without an automatic intake. The last cohort can't be removed. |
| Add a cohort | Select **Add a cohort** and choose its dates. This requires program admin access. Review the preview if it overlaps upcoming cohorts. |
| Restore a removed intake | Select **Add cohort** on the gap in an automatic schedule. |

People added automatically are reassigned by start date when boundaries change. People added manually stay in their cohort unless it's removed; then they move forward. Splitting keeps manually added people in the original cohort.

To change the recurring schedule, open **Edit cohort program**. Changing its cadence or weekday rebuilds upcoming dates, including your manual date edits and removed intakes. Cohorts that have started keep their dates.

You can also switch between **By start date** and **Add manually**. Existing placements stay; the new setting controls how future people are added.

## Share the channel link

Copy a cohort's channel link from its page or the program's schedule.

* **Automatically created channel:** you can copy the link before the cohort opens, but the channel is created on its first day.
* **Linked channel:** the link works immediately because the channel already exists.

Private channel links only work for members. Participants join on their own employment start date, so a link sent in advance may not work for everyone yet.

If you change the cohort's dates before it opens, copy its link again. An empty cohort never opens, so its predicted channel link won't become available.

## Pause or archive a program

| Action | Effect |
| - | - |
| **Pause** | Stops new cohorts from forming or opening. Cohorts already running keep their channels and continue their tracks. |
| **Resume** | Restarts the schedule. Fully elapsed intakes aren't recreated. |
| **Archive** | Stops new cohorts and hides the program from the Programs list. Running cohorts continue. Requires program admin access. |
| **Restore** | Makes an archived program available again. Open its page through one of its cohorts to restore it. |

For automatic programs, resume before the paused cohort's intake closes to let it open. If the whole intake passed, add affected people to a cohort manually.

## End a cohort early

Open the cohort and select **End cohort**. This requires editor or admin access.

Ending marks it **Done** and closes its intake. Existing members' tracks keep running unless you select the option to stop running tracks. Its Slack channel stays open.

## Fix a problem

| Problem | What to do |
| - | - |
| **Needs attention** on a cohort | Open it, read the error and select **Retry**. Editors and admins can retry. |
| A person's enrollment failed | Check their roster warning and Slack connection. Remove and re-add them to retry. |
| One person couldn't join the channel | Check the roster note for an account restriction. Their tracks can still run. |
| The channel can't accept invitations | Re-invite @Doozy, unarchive the channel or link a working channel in the program's settings. |

Program admins and facilitators receive Slack alerts for failures that need attention. Individual channel-invite refusals appear on the roster without a DM alert. If a problem persists, contact [Doozy support](mailto:support@doozy.live).
