How people join
- From Slack: active programs appear in the Doozy App Home under Mentoring programs, with Become a mentor and Find a mentor buttons. The button opens the role’s profile questions straight away.
- Added by an admin: on the program’s People tab, select Add people, pick a role and choose people. They’re in straight away, with no invite or approval needed, and get a Slack message asking them to answer the profile questions.
- From an invite: see Send an invite.
- From a track: add a Join mentoring program step to a per-person track.
Who can join
Set this for mentors and mentees separately under Joining in the program’s Settings, in the General section:- Who can become a mentor (or mentee): Anyone, Anyone matching filters or Only people I invite. Filters limit joining by group, country, work location or manager status from your HRIS.
- When someone asks to join: Add them straight away, or Wait for an admin to approve. New programs add invited people straight away. When you open mentor joining beyond invites, mentors wait for approval until you change it.
Send an invite
On the program’s People tab, open the Invite menu and select Send invite. You can invite people before the program is active, so profiles are ready when you activate it. Matching only starts once it’s active.- Send to: a Slack channel gets one post. Individuals, channel members and groups each get a direct message.
- Buttons: Become a mentor, Find a mentor, or both.
- Message: optional. Leave it empty to use the default, which the preview shows.
- Expires after: 7, 14 or 30 days. It’s 14 days by default.
Invite history
Open the Invite menu on the People tab and select Invite history to see every invite for the program, newest first. Each one shows who it went to, its buttons, who sent it and when, when it expires, and how many people got a direct message and how many aren’t on Slack. Channel posts show no counts. Its status is Active, Expired or Revoked. Program admins and viewers can see the list. A program admin can stop an active invite early with Revoke. Its buttons then say the invite is no longer open instead of joining, and direct messages that haven’t gone out aren’t sent. Anyone who already joined stays in the program. You can’t undo a revoke, so send a new invite to reach people again.Approve or decline
When someone who needs approval has answered the profile questions, the program’s admins get a Slack message with their answers and Approve and Decline buttons. You can also decide in the app. On the Overview tab, the Needs you list shows N mentors need approval and N mentees need approval. Select Review to go through them one at a time. Each person shows with their profile answers. Choose Approve or Decline, or use the keyboard:- A to approve
- D to decline
- → to skip
The People tab
The People tab is one table for the program. Switch between Mentors and Mentees at the top. The table has Person, Status, Waiting (for mentees), Mentor (for mentees) or Mentees (for mentors), Joined and Approved by. Waiting is how long a mentee has waited for a mentor. Above the mentees, a line says when matching next runs, how many are waiting and how many can’t be matched. Mentor and Mentees list their mentorships. Select a single one there to open it. Joined is the day they joined, applied or were added, and Approved by is the admin who approved or added them. Rows are ordered so people who need you come first: Needs approval, then Match needs review, then Can’t be matched, then Hasn’t answered. Within a status, whoever has waited longest comes first.Filter by status
Chips above the table filter by status and show how many people have it, for example Waiting for a mentor · 12. All shows everyone in that role. A status with nobody in it has no chip.Select several people
Admins can tick rows to act on many people at once. A bar shows how many you selected and offers the actions that apply to at least one of them:- Approve: people who Need approval.
- Remind: people who haven’t answered the profile questions.
- Remove: people in the program or invited.
Open a person
Select a row to open that person’s panel. It shows:- Their role and status, and for a paused person, the day the pause ends.
- How they joined, for example “Applied Oct 6, 2026 · Approved by Sam on Oct 9, 2026” or “Added by Sam on Oct 6, 2026”.
- For a mentee waiting for a mentor: how long they’ve waited, why they can’t be matched and what fixes it, when matching tries next, and Find a mentor. See When a mentee can’t be matched.
- Mentorships: their mentees or mentor, with the dates and the mentorship’s status. Select one to open it. It only shows once they have one.
- Profile answers: every answer in the order of the form, with a Shared with match tag on the answers their match sees. Questions they haven’t answered show as Not answered, with Required where it applies. A note at the top says what is missing, for example “2 required questions left”, and when they were last reminded.
- Mentor limits for approved mentors. See Mentor limits.
- Remind to answer profile questions: sends their profile questions message again in Slack. In the panel, use Send reminder next to the note about what is missing. Only one reminder can be on its way at a time.
- Pause until: leaves them out of matching until the day you pick, then includes them again. Their current mentorships carry on. Resume ends a pause early.
- Remove from program: takes them out of the program and keeps their record. Their mentorships end, and a removed mentor’s mentees go back to matching. To come back, they join again under the program’s joining rules, or you add them back.
- Add back: for someone who left, or a mentee whose mentorship completed, puts them back in the program. A mentee goes back to waiting for a mentor.
Add and invite people
Add people is at the top right. The Invite menu next to it holds Send invite and Invite history. Send invite is only available while the program is active.Status
Every person has one status, and it’s the same on the Overview tab, the People tab, and in their panel.
Mentorships have their own statuses. See Mentorship statuses.
